THE OPPORTUNITY


Colorado School of Mines welcomes applications for the Graduate Program Manager position supporting The Department of Computer Science and The Department of Electrical Engineering. The position plays a key role in supporting the academic progression of Mines students by providing academic advising and support services that foster individual development and educational goals. This position guides students toward the timely and successful completion of their degreerequirements while upholding national standards for academic advising and the mission of the Colorado School of Mines.

Additionally, the Graduate Program Manager oversees academic support services, recruitment and retention efforts, and supplemental instruction in collaboration with faculty and administration. A core responsibility ofthis role is managing graduate student funding and coordinating financial processes for both students and their faculty advisors.

While the primary focus is on graduate students, this position also provides limited support to undergraduate students in Electrical Engineering and Computer Science. The Graduate Program Manager assists students, faculty, department heads, and administrative staff in educating, training, and preparing students for successful careers. This includes direct support for graduate students fundedthrough Research and Teaching Assistantships {RAs and TAs), as well as faculty members who advise or oversee these students.

This full-time, 12-month, administrative faculty professional exempt position requires a high degree of independence, ensuring smooth communication and efficient processes between the Graduate Program Manager's office and the supported departments.

RESPONSIBILITIES

Student Advising and Program Management (40%) - Promote student success through advising and support services and will include, but is not limited to, the following:
  • Serve as the primary department contact for MS Non-Thesis, Professional Online Master's, MS Thesis, and PhD graduate students, utilizing a variety of advising and communication tools to enhance student support services.
  • Serve as the primary point of contact for CS@Mines Bridge students, a specialized program designed to support students from non-computing backgrounds in transitioning to a graduate degree in Computer Science.
  • This role requires ongoing collaboration with Graduate Admissions, the Registrar, Financial Aid, and the Bursar's Office to ensure seamless support for students.
  • Organize and lead new student orientations each fall semester and as needed in the spring to ensure a smooth transition for incoming students.
  • Provide individualized guidance and support to over 300 graduate students, offering timely and accurate assistance throughout their academic journey. Advising is tailored to the complexities of each student's specific field of study.
  • Act as a liaison between the department's graduate program, the Office of Graduate Studies, GraduateStudent Association, Graduate Council, Graduate Committee, and the Graduate Curriculum Committee.
  • Collaborate with faculty advisors to identify funding sources, process student funding contracts, and provide strategic guidance on student funding options.
  • Work with graduate faculty committees to facilitate and implement significant curriculum changes, ensuring updates are accurately entered into CIM and properly reviewed by the Graduate Council.
  • Oversee and manage graduate program data, including student degree progress, space allocations, plans of study, programmatic changes, and other key metrics to support program development and decision-making.


Marketing and Recruitment (40%) - Develop and maintain full recruitment plans for EE and CS, which will include, but is not limited to, the following:
  • Serve as the primary point of contact for prospective student inquiries and campus visits, overseeing the development and maintenance of the inquiry tracking system and communication plans.
  • Work closely with graduate admissions to continuously assess and enhance communication strategies, drip campaigns, and outreach initiatives.
  • Develop and manage graduate program materials and processes for orientations, recruitment events, information sessions, group visit days, and other activities that support both individual department goals and the broader mission of Mines.
  • Co-coordinate Graduate Student Recruitment Weekends, leading large-scale planning efforts, organizing individual department visits, and facilitating connections between prospective students, current students, faculty, and campus-wide events.


Admissions Management (Fall & Spring Cycles)
  • Oversee the graduate admissions process from inquiry to enrollment, ensuring seamless coordination and support for applicants.
  • Assist the Graduate Program Committees in Electrical Engineering {EE) and Computer Science {CS) with application processing, utilizing Slate to generate applicant data queries, compile applicant bundles, and review applications for MS-NT, MP-NT, MS-T, and PhD programs.
  • Establish and communicate timelines for application reviews, evaluate MS Thesis and PhD applicants, and draft and distribute award letters and acceptance communications.
  • Manage and provide admission decisions for over 400 applications per admission cycle, ensuring efficiency, accuracy, and alignment with program standards.


Partnership Development and Management (20%) - Develop working relationships with industry partners as a tool for promoting CS and EE graduate programs
  • Collaborate with Mines Online, the Career Center, and Mines ProEd to identify and pursue strategic industry partnerships for EE and CS.
  • Identify and engage industry partners that align with the institution's academic, enrollment, and workforce development objectives.
  • Negotiate and formalize agreements regarding course and program offerings for industry partners, maintaining a long-term, mutually beneficial partnership.
  • Ensure partnerships align with institutional priorities, faculty expertise, and student learning opportunities.
  • Align programs and course offerings with industry needs and evolving job market trends.

MINIMUM QUALIFICATIONS:
  • Bachelors' degree from an accredited institution of higher education.
  • Three years of professional experience with collegiate- level students in an advising, mentoring, or leadership role.
  • Professional oral and writing communication skills, strong organizational and project management skills, strong public speaking skills and proficiency with computer software.


PREFERRED QUALIFICATIONS
  • A masters' degree in a relevant field such as higher education administration, educational leadership, educational psychology, curriculum and development, etc.
  • Employment as a full-time academic advisor and/or academic support or student support specialist in a college or university setting for two or more years.
  • Three or more years experience working with graduate students in an advising, mentoring or leadership role.
  • Significant event/programming planning skills and experience.-
  • Advising or teaching experience with an engineering/applied science setting.
  • A demonstrable commitment to promoting and enhancing diversity of perspective.
  • Strong supervisory skills and experience.


TOTAL REWARDS

$62,000 - $68,500 annual salary rate
